Write measurable size and shape requirements
Trade descriptions such as round, near-round or potato are useful starting points but not universal grades. Record a size range and, for non-round pearls, length, width and drilling axis. Ask how many pieces were measured and whether the quoted size describes the full lot or a selected sample.
Compare luster and surface separately
Luster describes the brightness and sharpness of reflected light. Surface quality describes visible spots, pits, wrinkles or growth features. A pearl can have strong luster and visible natural features. State which factor has priority for the collection and approve samples at the intended viewing distance.
Specify drilling
Confirm undrilled, half-drilled or full-drilled material, hole diameter, direction and edge quality. Check that the chosen cord, wire or peg fits the sample. Large-hole or unusual drilling may require a separate production step, additional tolerance and a different quote.
Understand quantity and packing
Loose pearls may be supplied by count, temporary strand or weight depending on size and product. Ask how quantity is verified, how lots are separated and how drill rejects or damaged pieces are handled. Packaging should prevent abrasion and preserve batch labels during shipping and inventory storage.
Inspect before shipment
Use full-lot photos, close-ups and movement video under consistent light. Check size distribution, color range, luster, surface, shape, drilling and visible contamination. For critical orders, approve a pre-shipment sample or inspection standard linked to the purchase order.
